The following is a guide on how to use LabDash as a Provider.

Step 1: Set Up Your LabDash Provider Account

Registering as a Provider in LabDash is easy. Simply create your account and follow steps to get in contact with one of our testing labs. Our labs will help you to get set up with testing, and will verify your account so you can begin.

Start getting familiar with the features available on your account. Reach out to us or to your partner lab directly with any questions using the Contact Us form.

Step 2: Add Your Patients, Staff, and Ordering Providers

Make sure to add separate accounts for all your Staff members that will be using LabDash. Separate accounts are important for security and for HIPAA compliance. As the admin account holder, you have the ability to decide what features and notifications your staff members receive. You can also remove staff accounts from your facility at any time.

You should also add your Ordering Providers to your account before you begin testing. An Ordering Provider can approve medical necessity for tests that you order, and you can link them to tests when they are ordered and collected.

If you are working with a group of patients, you can create all of their accounts directly within your Account Manager. This gives you the option to manage their health information directly, or provide them with an Activation link to let them manage their own account too. Patients can also create their own accounts independently. These patients are added to your patient list once they’ve collected one of your tests.

Step 3: Configure and Request Test Kits

With LabDash there are a few ways that you can request testing. To receive test kits from the lab, you can get in contact with them directly, through the Contact Us form, or you can configure and request your order directly through the Test Requests screen. The Material Request feature lets you request the number of kits, test type, collection method, Ordering Provider, and other screening questions that should be gathered for the tests. The lab will receive this request and help to provide the kits you requested. If you prefer not to configure the order on your own, the lab can configure the request for you.

Once your order is approved, you can track the status of each test in the order as it moves through the testing process.

For insurance verification purposes, some tests also require an approval by an Ordering Provider to verify medical necessity. For these tests, you can generate an Approval Request to your Ordering Provider with the patient and requested test information.

Step 4: Receive Test Kits and Collect Samples

Once you receive test kits from the lab and maybe have some approvals from your Ordering Provider, you can use LabDash to collect the data needed to process and report results. Some patient information should be written on the provided sample test tube, and you can either help to facilitate sample collection with the patient, or the patient may be able to collect the sample on their own.

To get all the screening data into LabDash, you, your staff member, or your patient will go through the data collection process in their account. It’s a quick process to identify the patient, scan or enter the barcode, answer the screening questions, and provide a consent to testing.

Step 5: Return Kits, Track Tests, and Get Results

When you have samples ready to be processed, you will return them to the lab based on any instructions they have provided. When the lab has scanned in the tests, their statuses will be updated to reflect that they have been received. The patient will be notified of this too. Then once the lab has processed and reported the results into LabDash, you and the patient will be notified and can access results and official lab reports immediately in your accounts.

If any issues are encountered by the lab during processing, they might cancel the test, flag it as delayed, or could request further action by you to enter the data into LabDash if it’s missing. You’ll receive a notification about these activities, but you can also see them on your Orders page by opening the alert button at the top (only present if you have alerts).
